Property Policies
Check-In / Check-Out
- Check-in: 3:00 PM
- Check-out: 11:00 AM
Early check-in or late check-out requests are subject to availability and may incur additional fees.
Guest Capacity
Each cabin has a maximum occupancy limit based on safety and comfort. Exceeding cabin capacity is not permitted without prior approval.
Quiet Hours
To respect all guests on property, quiet hours are observed from 10:00 PM to 7:00 AM.
Smoking & Vaping
Smoking or vaping of any kind is strictly prohibited inside all cabins and indoor spaces. A cleaning fee will be charged for any violation.
Pets
Pets are not allowed unless otherwise stated or approved in writing prior to arrival.
Damages
Guests are responsible for any damage caused to cabins, amenities, furnishings, or communal areas during their stay. Any damages, missing items, or excessive cleaning will be charged to the guest on the reservation.
Use of Amenities
Use of amenities—including the heated pool, saunas, cold plunges, yoga studio, geo communal domes, pickleball court, grills, and fire pit areas—is at the guest’s own risk.
Guests must follow all posted rules and safety guidelines.
Event, Group, and Buyout Policies
Event Bookings
For weddings, retreats, family reunions, corporate groups, and full-property buyouts:
- A signed contract and deposit are required to secure dates.
- Final guest counts and event details must be submitted prior to arrival as outlined in your agreement.
Property Buyout
The full-property buyout includes private access to all cabins and onsite amenities for the duration of your stay. Capacity limits and safety guidelines must be followed.
Payment Policies
Payment Requirements
- A valid payment method is required at the time of booking.
- All charges, including deposits, add-ons, and final balances, must be paid as outlined during checkout or in your event agreement.
Cancellation Policy
NO REFUNDS
All bookings — including cabin stays, group reservations, event bookings, and full property buyouts — are NON-REFUNDABLE.
By completing a reservation, you acknowledge and agree to the following:
- No refunds will be issued for cancellations, no-shows, early departures, changes of plans, weather-related issues, road conditions, travel delays, personal emergencies, or circumstances outside the hotel's control.
- Rescheduling may be considered on a case-by-case basis but is not guaranteed and may incur additional fees.
We strongly recommend securing travel insurance to protect your booking in the event of unexpected changes.
Safety & Liability
Guests agree to use the property, amenities, and facilities responsibly and at their own risk.
The Pine Tree Hotel is not responsible for:
- Lost, stolen, or damaged personal items
- Accidents, injuries, or medical emergencies
- Weather conditions or natural events
Guests must supervise children at all times, especially around water features, fire pits, and outdoor areas.
